Meeting agenda template with timed topics

An agenda keeps a meeting short and pointed at a result. This template states the outcome you need, lists what to prepare, and sets out a 45-minute schedule in a table with time, topic, lead and expected outcome. A parking lot and a decisions section finish the page.

When to use it

Share an agenda a day or two before any meeting that has to produce a decision: planning sessions, kickoffs, reviews, board or committee meetings. Attendees read it to decide whether they need to come and what to prepare. The facilitator uses it during the meeting to keep time and move unrelated topics to the parking lot.

What is inside

  • A header with facilitator, date, duration and attendees, and a meeting outcome section under it.
  • A before-we-meet checklist and an agenda table with time, topic, lead and outcome columns.
  • A parking lot for topics that need their own meeting, and a section for decisions, actions, owners and due dates.

Tips for a better document

  • Write the meeting outcome as a decision, not a subject. “Choose the launch date” gives the group something to finish.
  • Keep the time column honest and make the minutes add up to the duration at the top. Export on A4 or US Letter if people like a printed copy in the room.
