When to use it
Write the plan once the project is approved and before the work begins, then update it at each milestone. The team reads it to see what they own, sponsors read it to see the dates, and other departments read it to find out what you need from them. It also settles later arguments about what was in scope.
What is inside
- An objective section and a scope section that separates included deliverables from excluded work.
- A milestones table with phase, deliverable, owner and due date, and a risk table with likelihood and mitigation.
- Sections for resources, dependencies and communication, plus a definition of done checklist with three boxes to tick.
Tips for a better document
- Fill in the excluded list as carefully as the included one. Most scope disputes are about things nobody wrote down.
- Longer plans benefit from a contents page with page numbers, which the editor can add when you export. A cover page helps if the plan goes to a sponsor for sign-off.
